Creating a Strategic Board Agenda

A well-planned agenda for the board is essential for productive meetings. The way an agenda is arranged and the manner in which it’s presented will make or break the meeting. The chair of the board will be able to reduce the time and effort of the meeting if he or she can create and stick to a standard format. It helps the board keep its focus throughout the meeting so that they don’t get lost in discussions that don’t pertain to the goals of the organization or wasting time on operational topics that can be handled by committees.

The majority of the agenda for board meetings should be devoted to discussions that are generative and relevant topics. This could be a forward-looking topic and relating to strategic objectives or simply the latest information and data. To keep the discussion and board focused, it’s recommended old or obsolete items be removed from the agenda. If it is essential to include these items the items should be put at the end of the board’s meeting to ensure that they don’t occupy too much of the time of the board.

The agenda for the board meeting should be communicated to the board members well in advance, so they are aware of the topics and questions that are likely to be raised. This will help them prepare for the meeting and provide them with an idea of what other board members are planning to discuss. The transparency will help the board stay focus and organized during the meeting. It could help to emphasize the importance of in-person attendance.
